Job Summary


The main responsibility of the Police Word Processor is to turn officers’ dictation and audio data into typed reports. 


You’ll need a solid understanding of criminal codes to ensure the reports are error-free. This job isn’t just about typing, you’ll also format reports to meet the FBI’s NIBRS standards. 


You’ll have to work different shifts, which can include nights, weekends, and holidays. Plus, when things get busy, you’ll need to work overtime and be part of an on-call rotation.


Key Responsibilities


Transcribe dictated audio data into accurate reports at a speed of 50+ words per minute.


Check and correct grammar, punctuation, and spelling in reports, and make sure they’re in the right format.


Review and adjust criminal codes based on the descriptions of criminal activity.


Meet deadlines for court dates and priority requests.


Fulfill FBI and DOJ statistical reporting requirements (NIBRS) and keep the error rate below 3%.


Respond professionally to public inquiries and requests from law enforcement agencies.


Enter, update, and verify police records in the database.



Experience & Qualifications


Education: A high school diploma or GED is required.


Experience: At least two (2) years of experience in a relevant field.


Typing: You’ll need to submit a 5-minute typing certificate (minimum 50 words per minute) with your application.


Certification: Within one year of hire, you must obtain California Law Enforcement Telecommunications certification.


Background: Passing a thorough police background investigation and polygraph examination is essential.


Language: You need full command of English, both written and spoken.

  • Strong proficiency in Microsoft Office and Google web-based tools.
  • A deep understanding of criminal law codes and police reporting procedures.
  • The ability to understand and clearly transcribe challenging audio dictation.

Location: Oxnard, California (Police Department).


Employment Type: Full-time (eligible for overtime under FLSA).
