Job Summary
The Administrative Assistant plays a central role at our company. You act as a bridge between project stakeholders, leadership, and internal teams.
Your main goal is to ensure smooth communication, prepare accurate documentation, and complete project-related tasks on time.
You’ll also be the first point of contact for clients, so being professional and having strong communication skills is extremely important.
Key Responsibilities
Serve as the primary communication bridge among project teams, clients, and leadership.
Assist with project setup, including processing engagement agreements and sending invoices.
Coordinate meetings and schedules, prepare agendas, and distribute action items.
Maintain data entry and task management in CRM systems (Salesforce/Hubspot).
Track project timelines and deadlines to keep work on schedule.
Answer client calls and direct their inquiries to the relevant departments.
Help with financial administration tasks, like processing payments and confirming invoices.
Research and propose new ideas to improve administrative processes.
Experience & Qualifications
Education: Must have a Bachelor’s Degree with 3 years of relevant experience, or a High School Diploma with 5 years of professional experience.
Tech Skills: Strong command of Microsoft Office (Word, Excel, PowerPoint, Teams).
Software: Experience with CRM systems (Salesforce/Hubspot) and Project Management software (Zoho, Monday.com, or Basecamp) is required.
Industry Knowledge: Prior experience in the financial services industry is a big plus (preferred).

Salary & Location

Salary: $50,000 to $69,000 USD annually (Salary depends on your experience and performance).
